Controlling Your Data

Understanding and managing your personal information on Pleiades

At Pleiades, we believe that you should have control over your personal information and health data. This guide explains what data we collect, how you can access it, manage it, and request its deletion when needed.

Your Rights

Under various privacy regulations including HIPAA and GDPR, you have certain rights regarding your personal data, including the right to access, correct, download, and delete your information in many circumstances.

Data We Collect

Account Information

When you create an account, we collect basic information including:

  • Name
  • Email address
  • Phone number
  • Billing information (when applicable)

Assessment Data

To match you with compatible therapists, we collect:

  • Personality assessment responses(if provided)
  • Therapy preferences and goals(if provided)
  • Mental health history (if provided)
  • Treatment preferences(if provided)

Communication Data

To facilitate your therapy, we store:

  • Messages exchanged with your therapist but it's Encrypted
  • Session scheduling information
  • Session notes (created by your therapist)

Note: We do not record or store video or audio from therapy sessions.

Usage Data

To improve our services, we collect:

  • Log data (login times, features used)
  • Device information (browser type, operating system)
  • IP address

Correcting Your Information

You can update most of your personal information directly:

  1. Go to "Account Settings" > "Personal Information"
  2. Click "Edit" next to the information you want to update
  3. Make your changes and click "Save"

For certain information that cannot be edited directly (such as assessment results), contact our support team for assistance.

Managing Communication Preferences

You can control what communications you receive from Pleiades:

  1. Go to "Account Settings" > "Notifications"
  2. Toggle on/off different types of notifications:
    • Session reminders
    • Therapist messages
    • Account updates
    • Marketing communications

Deleting Your Data

You have several options for removing your data from Pleiades:

Deleting Specific Content

To delete individual messages:

  1. Navigate to the message thread
  2. Hover over the message you want to delete
  3. Click the three dots (⋮) that appear
  4. Select "Delete Message"

Note: Deleted messages will still be visible to your therapist for clinical documentation purposes.

Requesting Account Deletion

To delete your entire account and associated data:

  1. Go to "Account Settings" > "Privacy & Data"
  2. Click on "Delete My Account"
  3. Follow the verification steps
  4. Confirm deletion

Please be aware that:

  • Account deletion is permanent and cannot be undone
  • You'll lose access to all your messages, session history, and therapist notes
  • Certain information may be retained for legal and regulatory compliance (see below)

Data Retention

Even after account deletion, we are required by medical record laws and regulations to retain certain clinical information for specific periods (typically 7-10 years, depending on your location). This includes:

  • Diagnosis information
  • Treatment records
  • Session notes
  • Billing records

This data is securely archived and accessible only for regulatory compliance purposes.

Data Sharing

You can control how your data is shared with others:

Records Release

To share your therapy records with an outside provider:

  1. Go to "Account Settings" > "Privacy & Data"
  2. Click on "Request Records Release"
  3. Complete the electronic release form with details of the recipient
  4. Specify which information you want to share
  5. Sign the authorization electronically
